- Administrative Specialist
Description
Responsible for overseeing a clean, efficient, and welcoming reception and employee areas for the Lexington Humane Society’s Administration department. Answers customer calls, greets visitors, responds to general inquiries, and leads volunteers to perform such tasks as needed. Provides and recognizes ways to offer exceptional internal and external customer service. Completes administrative and clerical tasks as directed for the LHS President, Vice Presidents, and Directors. Must be experienced with general office equipment. Must maintain strict confidentiality. Requires a strong commitment to the mission and purpose of the Lexington Humane Society (LHS) and Lexington-Fayette Animal Care and Control (LFACC). This is a non-exempt position reporting to the Marketing Manager (MM).
Requirements
Customer Service:
- Answers and triages incoming calls professionally
- Addresses customer inquiries with respect, patience, accuracy, and inclusivity
- Greets and welcomes visitors promptly
- Asks appropriate questions to determine the nature of the call/visit and prioritizes appropriately
- Understands individual roles and responsibilities of personnel
- Directs customers to appropriate individual, area, or department for assistance
- Follows up on customer concerns as needed
- Prioritizes compassionate and humane treatment of animals
- Maintains awareness and communicates information on current events and issues relevant to the organization
Administration:
- Completes all activities consistent with Standard Operating Procedures (SOP)
- Assists with paperwork and data entry as needed
- Maintains and produces copies of printed materials as requested
- Manages and coordinates Community Pet Food Pantry
- Maintains log of any credit card transactions conducted in administration
- Maintains administrative office equipment
- Maintains Administration lobby, breakroom, and bathrooms
- Documents calls as needed
- Networks with Volunteer Program to recruit high-quality volunteers to assist in Administration as needed
- Trains, supervises, and provides feedback to Administration volunteers
- Completes other administrative and clerical tasks as directed
- Organizes and maintains compliance, receives payment for Associate Pet Wellness Program
- Assists LHS President, Vice Presidents, and Directors with support tasks
Fundraising/Retail:
- Oversee merchandise, from product selection and ordering to inventory control, display, and sales performance
- Ensures retail operations are organized, financially responsible, and mission-aligned
- Monitors, tracks, and receives payment for associate purchases
